To begin, the SimpleCertifiedMail.com web-based software generates a cover sheet for each Certified Mail letter, including all the proper address data, Certified Mail barcodes, and electronic postage, in just over a minute. This compares to five minutes when using the old-fashioned manual forms and postage meters.

There is no need to drop off the Certified Mail letters at the Post Office in order to get a stamped PS3800 Receipt. Instead, our clients simply leave the Certified Mail letters for the Mail Carrier pick up or drop them in any USPS mailbox. Either way, clients receive a Proof of Acceptance (Electronic) PDF file in account within hours of the Certified Mail® piece being mailed, right after each letter receives its first outbound scan by the Post Office. The Proof of Acceptance provides the City, State, Time and Date that the USPS acknowledges taking physical possession of the Certified Mail® letter and is stored in the clients account for 10 years.

Green Cards are also eliminated. In their place, SimpleCertifiedMail.com posts the USPS Return Receipt (Electronic) PDF file to your account, complete with the recipient’s signature, within 24 hours of the mail carrier delivering each Certified Mail letter. The RRE was created by the USPS to be the digital equivalent of the Green Card. It is accepted as the legal equivalent by the IRS, State and Federal Courts. You no longer have to wait for up to a week for the Green Cards to come back and then file these manual forms.

With all transactions maintained in an online database, operators can also view and download all the Certified Mail® expenses they have incurred for each vehicle, making it easier to seek reimbursement.

SimpleCertifiedMail.com can also be used to prepare envelopes and labels for First Class and Priority Mail, whether clients want to prepare these pieces in house, or outsource them. This further streamlines the mailing function for our clients, making it possible to eliminate postage meter rentals.
