Mail Service Providers have traditionally found Certified Mail® to be too time consuming and labor intensive to generate a reasonable profit. For many, the labor costs can match or exceed the postage and Certified Mail fees on piece-by-piece basis.

Fortunately, Batch Processing and APIs from reduce prep time and labor requirements by as much as 80% while providing improved access to tracking and production information about each mail piece.

Using Batch Processing or APIs, the MSP uploads requests for Certified Mail cover sheets to and receives back complete cover sheets in PDF format (with addresses, electronic postage and Certified Mail bar codes) that become the first page of the Certified Mail piece. The MSP then prints the complete correspondence (cover sheet and letter), folds, inserts and finishes the mail piece. There are no manual touch points until the finished Certified Mail envelopes are in the mail tray. As the Vice President of one MSP explained, “We reduced the labor required to prepare 500 Certified Mail letters from six hours to less than one. It’s been a win-win.”

With APIs all the USPS tracking data and confirmations for Proof of Acceptance, Delivery and the Return Receipt Electronic can be requested. Attaching these items to the initial correspondence means the entire transaction (cover sheet, letter, tracking data and USPS confirmations) has been combined. The MSP can push this data to their client’s files in the form of a single PDF file. This information is normally archived for 10 years but can be deleted to accommodate PII and HIPAA requirements.
